Setting up Workflow Templates

How to set up the templates utilized for automatic events in your collections or followup schedules

First, in order to create your new workflow template you will need to log in to the WebAPP. You can do this by navigating to http://app.callpotential.com and entering your administrator credentials. If you have forgotten your login credentials, you can reach out to support at 877-552-2557. After logging in, you will then want to access the "Advanced Dashboard".

After you are in the Advanced Dashboard, click "Setup Workflow Templates" under Setup Pages.

Once into the Workflow Templates page, you will be able to create a new template entirely, or edit/remove an existing one. The Archive button will allow you to remove all checked templates. We will click the "New" button in order to create a blank template.

After clicking the New button, a pop up box will come up with a blank HTML editor box. The default Template Type will be set to Email, but you can change it to an SMS by clicking the drop down. If you wish to use the email, simply leave it as is and fill out the template. You will need to create a Template Name, a Subject for the email, and message content. In addition, you will be able to add any of your system or custom variables by clicking on the variable in the variables list, and then clicking the "<<" button to the left of the box.

Alternatively, if you wish to create an SMS message template, you just need to select the SMS type from the template type drop. You will fill this out similarly to the Email template; However, keep in mind that you will be limited to 400 characters. We recommend keeping your SMS message short and sweet, in order to fit the entirety of the message into one 160 character text. You will be able to add system and custom variables just like you would for the email template.

After you have finished making changes to your workflow template, simply click the "Save" button at the bottom right corner of the card. You have now successfully created your new workflow template!
