Once you've created Custom Variables, they will need to be defined at your locations. Defining a variable means that it will need to be customized for the specific location. For example, if you create the Custom Variable, Manager Name, you will then need to identify a name to replace the Custom Variable; for example, John Smith. By doing this, every place the variable appears in places like your script or collection or follow-up communication, it will be replaced with John Smith. The purpose of this guide is to explain how to link a Custom Variable to an actual value.

Terms in blue are links to additional information about the described functionality. 

You must be signed into CallPotential's web version as an Administrator to access the Settings icon and define variables at the location level.

Access

  • (A) Settings - Click to access all your available administrative settings.

  • (B) Locations - Click to access your complete list of locations.
  • (C) Edit - Once you've found the location you want to edit variables, click to open it's settings.
  • (D) Location Details - After clicking a specific location’s edit icon, this will be selected by default. You will need to click this if you've navigated to the location's other editing options.
  • (E) Edit Variables - Click to access the Override Variables popup and define your variables at this location. Note: Depending on your property management software and available settings, you may need to scroll to the bottom of the page to access this.


Define Variables

  • (F) Variable Override - Enter the new variable value that will override the custom variable at the selected location. This will replace the custom variable wherever it appears in such places as the location's script card or collection and follow-up workflow communication.
  • (G) Confirm - Click to apply edits and close the Override Variables popup. Note: You will still need to scroll to the top of the page and click Save to finish the process.
  • (H) Cancel - Click to discard any edits made and close the Override Variables popup.
