Adjusting Collection Workflow Settings

Note
Italicized terms represent clickable icons on the specific screen being discussed.

You must be signed into the Web Client as an Administrator to adjust Collections workflow settings.

Select Workflow to Edit - Note: Both Collections and Follow Up workflows are in the same list.
(A) All Workflow Type dropdown - Click and select Collections (B) from dropdown list.
(C) Apply - Click to update the list & show only Collections workflows.
(D)Â Reset - Click to remove the Collections filter and view all workflows.
(E) Active/Archived - The list defaults to Active. Click to show Archived.
Archive Workflow
(F) Archive checkbox - Click to select which Workflow you want to archive.
(G) Archive workflow icon - Once a Workflow has been selected, this icon becomes clickable. Click to archive a Workflow.
Duplicate Workflow
(H) Duplicate - Click to make a copy of the specific Workflow and all its settings.
Edit Workflow
(I) Edit - Click to access a Workflow and make edits.
Edit Step - Note: The remaining steps are accessible once you’ve selected a step to edit.
(J) Default rule checkbox - If checked, this workflow will become the default workflow meaning any new location added in your account will be assigned to this workflow. It is always best practice to leave the Collection -Off workflow as the default. When you know the location is ready to launch, you can then assign the appropriate workflow.
(K) Version History dropdown - Click to select historical versions of the workflow to view in read-only state.
Configure Promise to Pay - THIS SETTING DOES NOT APPLY FOR FULLY AUTO COLLECTIONS
Note: Enable promise to pay (L) needs to be checked in order for (M) - (P) to be visible.
(L) Enable promise to pay - Checking the box will make the Promise to Pay workflow step visible.
(M) Type dropdown - Determines the communication channel that will be used for that workflow event. For Text and Emails, the Template dropdown becomes clickable.
(N) Template dropdown - For Emails and Texts, click to select which email or text step the message will appear. For Calls, click the current recording to upload a new Mp3.
(O) Auto checkbox - Click to enable delivery time selections. This also enables mp3 recording uploads for Call types.
(P) Delivery time dropdown - The Auto checkbox must be clicked for this to be edible. Click to select the time of day the Workflow will be sent to the Customer.
Workflow Steps
(Q) Type dropdown - Click to select either a Call, Email or Text. This determines the communication channel that will be used for the workflow event.
(R) Days Past Due - The number of days the payment needs to be past due for this event to trigger.
(S) Template dropdown - For Emails and Texts, click to select which email or text it will appear. For Calls, the Auto checkbox needs to be clicked in order to edit the Mp3 audio.
(T) Auto checkbox - Click to enable delivery time selections.
(U) Delivery time dropdown - The Auto checkbox must be clicked for this to be edible. Click to select the time the Workflow will be sent to the Customer.
(V) Add/Remove Step - Click to add a next step or to remove the current step selected.
Settings
(W) Send email alert checkbox - Not applicable for fully auto collections. If checked, daily email alerts will automatically be sent to the location email address for all manual workflow events scheduled for that day.
Location Assignment -Â Note: You can select multiple locations by clicking one at a time and holding the Control Key. Pressing the Shift Key while selecting two locations will include all the locations in between those two locations.

(X) Add Locations - Select a location(s), then click the right facing arrow to add the workflow to that location.
(Y) Remove Locations - Select a location(s), then click the left facing arrow to remove the workflow from that location.
Exclusion Calendar
Â
(Z) Dates to Exclude calendar - Click to access a calendar and select dates this workflow will be suppressed. After selecting the first date and clicking Confirm Dates, more dates can be selected.
(AA) Days to Exclude checkboxes - Click to select days of the week that no events will be processed for this specific workflow.
Save
(BB) Save icon - Click to implement workflow adjustments for all assigned locations.
