When a Lead reserves a unit, the system may assign a unit based on your management settings such as selecting the longest vacant unit first. Sometimes, a Lead may want to select a specific unit. The purpose of this guide is to explain how Leads can select a specific unit.

Italicized terms represent clickable icons on the specific screen being discussed.

Terms in blue are links to additional information about the described functionality.

Navigate the Advanced Inventory Table - Note: You can click each column header to sort that list. Click the header once to sort alphanumerically, twice to sort reverse alphanumerically. To remove sorting, click Reset.

  • (A) Location - This is the location where the unit group belongs. It can be either the location where the Lead card is associated or locations you’ve added.

  • (B) Unit Size - This is the unit size for this group of units. Examples may include 5.00x5.00 or 8.00x8.00. Units are listed in order of increasing square footage.

  • (C) Description - This is the category type for this group of units. Categories are specific to your PMS and may include such things as Climate Controlled, First Floor Units, or Parking Spaces. Note: The organization and naming of the groups are done within your PMS.

  • (D) Distance - This indicates the distance the unit’s facility is from the active location. The active location can be where the Lead is associated, the location they called into, or the location they indicated as a walk-in. Units at the active location will display a (-).

  • (E) Availability - The column includes the number of available units and percentage of available units relative to all units within that unit group.

  • (F) Rate - This shows the minimum-to-maximum range or rates available for units within the group. If only one rate is available, that single rate is displayed.

  • (G) Special - This is a dropdown list of discounts or special offers that can be applied for this unit group.

Select a Unit

  • (H) Unit Selection - Check the box associated with the unit size and depending on your management’s settings, the system will automatically select a unit.

Select a Specific Unit - Note: System users may select a specific unit based on the Lead’s preference.

  • (I) Unit Size - Begin the process of selecting a specific unit by clicking the unit size.

Note: Depending on your property management software, your table columns may look slightly different. All columns can be sorted. Click the header once to sort alphanumerically, twice to sort reverse alphanumerically. To remove sorting, click (K) Reset.

  • (J) Select Floor - Click this dropdown to filter the list by the Floor column.

  • (K) Rate - Click the dropdown to filter the list by the Rate column.

  • (L) Rate Group - Click this dropdown to filter the list by the Rate Group column. Note: This column’s information is gathered from your PMS. If your PMS doesn’t provide this information, CallPotential will group units with the same rate into the groups, Group A, Group B, Group C, etc.

  • (M) Reset - Click this to return your list to its original state.

  • (N) Specific Unit - To select a specific unit, click the unit number. The Select Unit window will close and the unit number will appear next to the unit size in the Inventory table.
