The purpose of this guide is to explain how to create new and edit existing workflow message templates. These templates can be used in automatic and manual Follow-up and Collection emails and texts as well as manual communication outside of any workflow. They offer a customized message to a Lead or Customer based on how how far along they are in the Follow-up and Collection process or a targeted message when sent outside of a workflow. Access

  • (A) Settings icon - Click to access all your available administrative settings.

  • (B) Workflow Message Templates - Clicking this will open your list of available workflow message templates and allow you to begin creating a new template.

  • (C) Edit an Existing Template - Click the editing pencil to edit the specific template you want. The process to edit an existing template is the same as creating a new one. Continue to step (D) to learn how.

  • (D) New - Click to open the workflow template builder and begin creating a new one.

Create an Email Template - Note: Upon clicking New, the system will default to the email template builder. Proceed to step (M) if you want to create a text message template.

  • (E) Template Name - Enter the name for this template. The name will appear as an option to include when creating Collection and Follow-up workflows so it should be descriptive enough to help you understand its contents.

  • (F) Email Subject - Enter the subject that will appear for the recipient.

  • (G) Message - Enter the message you want the recipient to read when they open your email.

  • (H) Source - Click to add HTML tags to your email message for a more customized look and feel. Click (I) here to see a list of supported HTML tags.

  • (J) Variables - Click to open a dropdown list of system and custom variables. These will be inserted into the email message wherever your cursor is. Click here to learn more about variables.

  • (K) Cancel - Click to close the Configure Campaign Template window. Any work you've done will be lost.

  • (L) Save - Click to save your work and make this workflow template available for use.


Create a Text Template - Note: Text messages can contain up to 400 characters.

  • (M) Template Type - After clicking (D) New, the Configure Campaign Template window will open to an email. If you want to create a text message template, click this dropdown message and select SMS.

  • (N) Template Name - Enter the name for this template. The name will appear as an option to include when creating Collection and Follow-up workflows so it should be descriptive enough to help you understand its contents.

  • (O) Message - Enter the message you want the recipient to read.

  • (P) Variable - Click to open a dropdown list of system and custom variables. These will be inserted into the email message wherever your cursor is. Click here to learn more about variables.

  • (Q) Cancel - Click to close the Configure Campaign Template window. Any work you've done will be lost.

  • (R) Save - Click to save your work and make this workflow template available for use.
