Sometimes you may need to delete a Lead from the system. This guide explains how Administrators can assign a Deleted status to both Active and Cancelled Leads. Deleted Leads get completely removed from CallPotential, and depending on your property management software, from that as well. Since Deleted Leads are completely removed from the system, they do not impact your conversion rates.

Italicized terms represent clickable icons on the specific screen being discussed.

You need to be logged in as an Administrator to delete Leads.

Delete an Active Lead - Note: To delete an Active Lead, you first need to change a Lead's status from Active to Cancelled.

  • (A) Status - From inside the Lead card, click the dropdown to access the available options and select (B) Cancelled.


Reason & Competitor - Note: After selecting Cancelled, you will be asked to complete the following steps.

  • (C) Reason - Click to access available reasons and select why the Lead will be cancelled. Information you enter here will reflect in the Cancellation Reasons Report.

  • (D) Competitor (optional) - If you learn the Lead did rent somewhere else, click the dropdown to access and select where they rented from. Entering information here is important as it will reflect in the Competitors Report.

  • (E) Notes (optional) - Add explanatory notes regarding why the Lead was cancelled.

  • (F) Confirm - Click to confirm the information entered and close the Cancel Lead window. Note: This becomes enabled after you've selected a (C) Reason.


Confirm the Lead Deletion

  • (G) No, just cancel Lead - Clicking this will effectively stop the deletion process and assign the Lead a Cancelled status. Cancelled Leads are removed from Follow-up events.
  • (H) Yes, delete Lead - Select this option to confirm you want to delete the Lead. Deleted Leads will be completely removed from the system and depending on your property management software, from that as well. This is a permanent action which cannot be reversed.


Save

  • (G) Save - Click to save the changes you made. Updates to the Lead will reflect within CallPotential and, depending on your management software, that as well.


Delete a Cancelled Lead

  • (A) Status - From inside the Lead card, click the dropdown to access the available options and select (B) Delete.

  • (C) Yes, delete Lead - Select this option to confirm you want to delete the Lead. Deleted Leads will be completely removed from the system and depending on your property management software, from that as well. This is a permanent action which cannot be reversed. If you select this option, you will need to continue to (E) Save to complete the process.
  • (D) Cancel - Select this option to stop the deletion process. This will close the Permanently Delete Lead window and leave the Lead's status as Cancelled. Note: If you select this option, you will not need to click (E) Save since nothing in the Lead card was changed.

  • (E) Save Click to save changes within CallPotential and, depending on your management software, within that as well.
