Additional tracking numbers can be acquired for specific advertising campaigns or when new locations are being added all in an effort to identify effective uses of your marketing budget. The purpose of this guide is to explain how to acquire new tracking numbers and associate them with an ad and location. 

Note

Italicized terms represent clickable icons on the specific screen being discussed.

Terms in blue are links to additional information about the described functionality. 

You must be signed into CallPotential's web version as an Administrator to access the Settings icon and acquire a new tracking number.

Access

  • (A) Settings - Click to access all your available administrative settings.
  • (B) Phone Numbers - Click to access your full list of editable tracking numbers and acquire new tracking numbers.
  • (C) New Tracking Number - Click to begin acquiring a new tracking number. 


Choose the Location - Note: Each step must be completed before you can advance to the next step.

  • (D) Choose Location - Click the dropdown to select which location the number tracks to.
  • (E) Next - Click to proceed to the next step, Choose Ad.


Choose the Ad

  • (F) Choose Ad - Click the dropdown to select which ad source the number is associated. Associating a phone number with an ad source allows you to track the effectiveness of your advertisements. In other words, this means the ad associated with the number can be credited with generating that call and allowing you to justify its expense. This information can be viewed in the Ad Performance ReportNote: When selecting Create a New Ad from the available options and upon clicking Next, you will be able to create a new ad.   • (G) Back - Click to return to Choose Location.
  • (H) Next - Click to proceed to the next step, Choose Number.


Choose the Number

  • (I) Number Type - Click the dropdown to select the type of number you want created; options include Local, Toll Free & Virtual.
  • (J) Country - Click the dropdown to select either USA or Canada.
  • (K) Area Code (optional) - Enter the area code you want associated with the number. If you don't enter information here, CallPotential will provide numbers solely based on your selections in (I) & (J).
  • (L) Vanity Word (optional) - Enter a specific alphanumeric text desired for the number. If you don't enter information here, CallPotential will provide numbers solely based on your selections in (I) & (J).
  • (M) Search - After filling in all your desired fields, click Search to have the system provide a list of available numbers appear on the right of your screen. From that list, select the (N) number you want to use. Note: You must select a number from the list to continue.
  • (O) Back - Click to return to Choose Ad.
  • (P) NextClick to proceed to the next step, Setup Number.


Setup Number

  • (Q) Call Routing Rule - If you want the number to follow the call route assigned to the location, leave this as "USE LOCATION DEFAULT". This is the typical setting for most location numbers. However, if you want the number to follow a unique call route, click the dropdown to select the unique call route.
  • (R) Script Card - If you want calls to this number to populate the script assigned to the location, then leave this as "USE LOCATION DEFAULT". This is the typical setting for most location numbers. However, if you want the number to populate a unique script, click the dropdown to select the unique script.
  • (S) Record Inbound Calls - Click the checkbox to record inbound calls.
  • (T) Exclude Number - Click the checkbox to exclude the number from being used in the outbound caller ID.

Note: Setting up webhooks (U) - (X) isn't required and if you aren't using them, they can be skipped. However, if you are using webhooks, these steps need to be completed for them to successfully work. Click here to learn more about webhooks.

  • (U) Webhooks - Paste a new webhook link in this window.
  • (V) Parameter NameEnter the specific information you want sent to your analytics platform.
  • (W) Value - Click the dropdown to select the system or custom variable that represents the parameter name you entered in (V)Click for more information system variables.
  • (X) AddThis becomes enabled when a parameter name and value have been entered. Click to add additional Parameter Names and Values.


  • (Y) Back - Click to return to Choose Number.
  • (Z) Next Click to proceed to the final step, Confirm.


Confirm

  • (A) Back - Click to return to Setup Number.
  • (B) Save - Click to save your updates.
