This guide covers various settings specific to CallPotential's Collection Manager services. Collection settings help manage how you would like to work with past due tenants in the CallPotential system. If you do not subscribe to CallPotential Collection Manager, these settings are not applicable to your account.

Italicized terms represent clickable icons on the specific screen being discussed.

You must be signed into the Web Client as an Administrator to access this option.

Access

  • (A) Edit Pencil - From the location list identify the location you wish to edit and click to open its profile.
  • (B) Collections - The list will default to Location Details. Click to access the location's Collections settings.

(D) Reset Collection Upon PaymentTurn this on to reset the Collection workflow upon partial payment. Depending on state laws, you may need to reset the lien process when any payment is taken, so by enabling this function it will bring Customers back to the beginning of the workflow.SiteLink, StorEdge, Door Swap, SSM, Hummingbird, SSM Next Gen
(E) Number of Events to Send per BatchThe number of batch events dictate how many Collection events go out in a single run (i.e. if 100 Collection events are scheduled and you enter 25 in this field, then they will get broken into 4 batches of 25 to be sent every hour starting with the time the event is scheduled). (F) Include All Numbers in Auto CallsTurn this on so auto calls are sent to all the phone numbers saved in an account. (G) Include All Email Addresses in EmailsTurn this on to include all email addresses saved on an account will receive automatic Collection information. (H) Include All Numbers in SMSTurn this on so home and mobile numbers saved on an account receive automatic Collection texts related to their unit. (I) Minimum Balance to Start CollectionEnter the minimum balance a Customer must owe to be included in the Collection process. If a Customer owes less than what is listed here, they will not be assigned to the Collection workflow. This helps maximize your users' time by preventing them from dealing with Customers who owe a negligible amount. (J) Auto-Match all Numbers for Pay-by-Phone

When this is not turned on, the only number on the account that will be recognized is the primary number. When enabled, the system will also recognize secondary numbers the Customer may call in from to auto associate the account.

Payments

(K) Autopay TextEnter the text that will appear in the auto pay enrollment box when an employee makes a payment via CallPotential, a Customer makes a payment via the pay link, or an employee does a move in. (L) Exclude Payment Link After

Enter the number of days delinquent the tenant must be in order to exclude the pay link from communication. This also deactivates any previously sent links and stops them from using the pay-by-phone system, so essentially it requires the tenant to actually speak with someone to make a payment.

This is typically used to require Customers who are in a lien or auction status to speak with the location to make payment arrangements.

(M) Save Credit Card InformationTurn this on to save the credit card information to the management software when a payment is submitted. (N) Allow Previous Card

Turn this on to allow the user to select a previously used card to submit payment if stored within the property management software. Note: StorEdge does allow for convenience fees to be added but it appears as a dropdown list instead of a manually entered dollar amount. It is currently only a single dropdown so it is either activated or not activated.
(O) Convenience Fee (CallPotential Payment Portal) Enter the convenience fee paid by the tenant when a payment is entered by an employee in CallPotential. This automatically gets applied to payments, however the user can deselect it when taking payment if they choose not to apply the convenience fee.SiteLink, Door Swap
(P) Convenience Fee (Automated Phone Payments)Enter the convenience fee paid by the tenant when making a payment through the pay-by-phone system. This automatically gets applied to payments and the Customer has no ability to remove it.SiteLink, Door Swap
(Q) Convenience Fee (Customer Payment Links)Enter the convenience fee paid by the tenant when a making a payment using a CallPotential link. This automatically gets applied to payments and the Customer has no ability to remove it.SiteLink, Door Swap
