This guide explains how to manually text a Lead when one is scheduled as an event in the Follow-up workflow.

Note

Italicized terms represent clickable icons on the specific screen being discussed.

Terms in blue are links to additional information about the described functionality. 

If your company doesn't subscribe to CallPotential's Lead Management services, these instructions may not be pertinent to you.

Open Record from Follow-up List - The specific follow-up communication method is indicated under Type in the Follow-up list.

  • (A) Lead icon - Click to access the list of manual Follow-up events. The list will automatically open to Follow-ups.

  • (B) Text - Locate a text Follow-up event.

     Open - Click to access the Lead card and to proceed with the Follow-up text.

Review Lead Record - Review the Lead record and notes to familiarize yourself with the Lead before sending the text.

  • (D) Script - Note any special directions or scripting that may have been customized by your management team.

Start Text - Note:

 If

 If the primary phone number has been excluded from receiving texts, the system will automatically direct the text to a non-excluded number.

 If

 If all phone numbers on the Lead's account have been excluded from receiving texts or there is only one number on the record, this Follow-up step will either be completely skipped or removed from your task list, depending on when the exclusion was created and a note will be added to the record indicating this happened.

  • (E) Start Follow-up Text - Click to initiate the manual Follow-up text. 

  • (F) Next Follow-up - Indicates the next date (after the current scheduled Follow up) a scheduled follow-up communication is scheduled. 

  • (G) Information - Click for information regarding the next follow up event. 

  • (H) Delay - Click to delay the current follow up. Click here for a more detailed explanation on our Delay Follow up feature.

Edit & Send Text - Note: All text messages will automatically contain a link that Leads can use to unsubscribe from these notifications.

  • (I) Text Body - A preview of the text will appear with a pre-populated message, make edits as necessary. Note: You can click and drag the edge of the text window to increase or decrease its size on your screen.

  • (J) Templates - Click to access a list of additional standard messagesNote: Your management team has worked hard to customize a message that fits into this step of the workflow. Please confirm with your management team before selecting a different template.

  • (K) Send - After making updates, click to send the text.

Confirming Text Sent

  • (L) Message Sent - After clicking Send a confirmation message will appear at the top, center of the Lead card.

Update Record - Notes are automatically updated to reflect the Follow-up communication along with the initials of the employee who completed the event.

  • (M) Save - Enter any necessary updates to the Lead card then click Save to apply updates and exit the Lead Card.
