This guide

covers how to take payment and billing information, including enrolling the Lead in auto-pay to complete the move-in process. 

explains how to complete a Move-in through CallPotential. Once you have filled in your Lead Card with all the necessary information, selected the desired unit and any applicable specials, follow these instructions to finalize the Move In and accept payment information. You can even enroll the customer in AutoPay during this process.


Note

Italicized terms represent clickable icons on the specific screen being discussed.

Select Move-In

  • Lead Type dropdown - Click to access and select (A) Move In from the options. Note: Depending on your management's settings, you may have different options listed here.

  • (B) Save - Click to save your changes to all entries in the Lead card and open the Move In window.


Additional Customer Information

  • Enter as much information as possible into the (C) Information Fields Complete the additional fields needed for Move-In. Note: The number of tabs and their titles will vary based on your management software. All required fields are indicated by a red (*).
  • (D) Insurance dropdown - Select the appropriate insurance type for the move-in based on the Customer Tenant's needs.
  • (E) Calculate - Click once you've finished entering the CustomerTenant's information and insurance option. Note: Calculate is only available in the Tenant Info tab.


Pay via Credit Card - Note: This is the default payment option.

  • (F) Credit Card Type dropdown - Click to select available card options.
  • (G) Card Information - Enter the card number, security code, & expiration date.
  • (H) Billing Address - Click the (I) Use Tenant Address checkbox if the billing address is the same as the tenant address. If the addresses are different, enter the tenant's billing address.
  • (J) Automatic Payment checkbox - If the customer has agreed to enroll in AutoPay, check this box. Note: This is only available if the Customer Tenant is using a credit or debit card.
  • (K) Move In - Click to finalize the Move In. Note: You may need to scroll to the bottom of this window to see this. If you clicked Move In without checking the automatic payment option, you will be prompted once more to setup automatic payment.


Pay via Cash 

  • (L) Method dropdown - Click to access payment options and select (M) Cash.
  • (N) Move In - Click to finalize the Move In.


Pay via Check

  • (O) Method dropdown - Click to access payment options and select (P) Check.

  • (Q) Check Number - Enter the check number.
  • (R) Move In - Click to finalize the Move In.


eSign - Note: Depending on your property management software, your remaining steps may differ.

Email eSign - Note: This is the default communication method. 

  • (S) Send Email - Click to send the eSign agreement via email.
  • (T) Switch to SMS - Click open the text window and send the eSign agreement via text.
  • (U) Close - After sending the eSign agreement, click to close the window.

Receipt - Note: After closing the eSign window, you will have options on how to send the receipt.

  • (V) Receipt Options - Select how you want to send the receipt link. The phone number and email address will be automatically populated. If you select Print, the receipt will open in a new window for printing. Note: When you've finished sending the receipt, the window will close and return you to your previous screen.
