Lead types available in your PMS (such as Inquiry or Reservation) are automatically available in CallPotential to use when creating new Leads. CallPotential also provides the ability to create new, custom Lead types allowing you to

create a workflow based on Lead type and how you’d like to

further customize your follow-up

with a Lead. This allows you to communicate with a Lead who wants to immediately move in differently than one who is just shopping around. This

  • (C) Create New - Clicking this will open a popup window allowing you to create and customize the new Lead Type.

  • (D) Lead Type - Enter the name of the new, custom Lead

    Lead Type will appear in the list of active Lead Types and be available for selection on Lead Cards. One example of how some clients use custom lead types is to differentiate between Web Reservations from Agent Reservations. This allows you to assign a different Follow-up workflow depending on where the Reservation was generated.

  • (E) Workflow

    Rule dropdown - Without otherwise specifying, the Lead Type will follow the Location Default workflow; click the dropdown to select a different workflow. Leads will be contacted based on whatever workflow their Lead Type indicates. For example if you are creating a web reservation, you may want a Lead entered into a workflow that sends out a text or email immediately. Whereas if this is a location entered Lead, you may want to slightly delay the initial text or email

    Rule - As a default, all Lead Types are set to follow the workflow set at the location level (Location Default). If you would like this Lead Type to use a different follow-up workflow, click the dropdown to assign the workflow. For more information on workflows, click

    the PMS selected, you will be able to select from a unique list of available transmission types (Inquiry, Reservation, etc). The transmission type dictates how

    a Lead’s information is sent, or if it is sent at all, to your property management software. Depending on your management software

    the Lead is saved in your PMS. 
    Note: Depending on your PMS, you may see an option of None

    from the available options. Selecting this transmission type allows you to select a unit and quote its price but not send the Lead’s information to your management software. You will also be unable to move a Lead in with this transmission type. This can be a convenient feature when a Lead wants a unit and is willing to wait for it to become available.(H) Default checkbox - By checking this box, a newly created Lead will automatically be classified as a specific Lead type. While a user can change the Lead type to something else, this can be useful if a large majority of Leads are typically assigned a specific Lead type. This helps reduce user effort and cut down on errors. This also helps when Leads are sent from your property management software to ensure they are automatically associated with the appropriate Lead type and workflow.

    which means the Lead Type will be saved in CallPotential but not transmitted/saved in your PMS. This is an option if your PMS does not allow you to save Leads selecting a unit size that has no availability.

  • (H) CallPotential Default - There can only be one Default set for each transmission type (Inquiry, Reservation, etc). When Leads are created within CallPotential, they will be assigned the Lead Type that has been set as the default for that transmission type.

  • (I) API Default - If this box is checked, this Lead Type will automatically be selected for Leads created from the API for the selected transmission type. Note: If there are no Lead Types set as "API Default", then the Lead Type used for API Leads will be the CallPotential default Lead Type.

  • (J) Hidden on Lead Card - Click to hide the Lead Type on the Lead card.
