This guide explains how to manage standard Lead types and create new custom ones in CallPotential. When working in a Lead card, and depending on the type selected, users do not necessarily need to select a specific unit in order to have a Lead entered into a workflow.

Lead types available in your PMS (such as Inquiry or Reservation) are automatically available in CallPotential to use when creating new Leads. CallPotential also provides the ability to create new, custom Lead types allowing you to further customize your follow-up process. This guide explains how to create those new, custom Lead types.

Create a New Lead Type

    Clicking this will open a popup window allowing you to create and customize the new Lead Type.

Image RemovedThe Lead types, Inquiry and Reservation, talk back and forth between CallPotential and your management software. The other Lead type, None, doesn't. Since it doesn't talk with your management software, it can be used when a Lead selects a unit type with no current availability and is willing to wait until a specific unit size becomes available.

Customize the Lead Type

  • (D) Lead Type - Enter the name of the new, custom Lead Type

    name as it will appear for selection and use in the system.
Image RemovedThe main difference between the Lead types, Inquiry and Reservation, is the idea of making a commitment. Reservations are commitments and indicate the Lead has a specific timetable to move in. Depending on your system configuration, they may also need to make a payment. Inquiries are just that, a Lead is simply shopping around with no commitment or guaranteed hold on the unit they want
  • . After saving your work, this Lead Type will appear in the list of active Lead Types and be available for selection on Lead Cards. One example of how some clients use custom lead types is to differentiate between Web Reservations from Agent Reservations. This allows you to assign a different Follow-up workflow depending on where the Reservation was generated.

  • (E) Workflow

    Rule dropdown - This will initially default to Location Default. You can leave it as Location Default or click the dropdown to select from your list of standard and custom workflows. Each workflow will contact the Lead at different times via different communication sequences, all in an effort to get them to move in.     Rule - As a default, all Lead Types are set to follow the workflow set at the location level (Location Default). If you would like this Lead Type to use a different follow-up workflow, click the dropdown to assign the workflow. For more information on workflows, click here.

  • (F) Management Software

  • (G) Transmission

    Type dropdown - This will initially default to INQUIRY. Click the dropdown to select the transmission type

    Type - Based on the PMS selected, you will be able to select from a unique list of available transmission types (Inquiry, Reservation, etc). The transmission type dictates how the Lead is saved in your PMS. 
    Note: Depending on your PMS, you may see an option of None which means the Lead Type will be saved in CallPotential but not transmitted/saved in your PMS. This is an option if your PMS does not allow you to save Leads selecting a unit size that has no availability.

  • (H)

    Default checkbox - This will initially default to being unchecked. Check this to make your new Lead Type selection the new default option. WHAT DOES MAKING THIS DEFAULT REALLY DO?
  • (I) Save - Click to make this new Lead Type available for use in the system and return to your Lead Type list.
  • (J)Cancel - Click to discard changes and return to the Lead Type list.

  •  CallPotential Default - There can only be one Default set for each transmission type (Inquiry, Reservation, etc). When Leads are created within CallPotential, they will be assigned the Lead Type that has been set as the default for that transmission type.

  • (I) API Default - If this box is checked, this Lead Type will automatically be selected for Leads created from the API for the selected transmission type. Note: If there are no Lead Types set as "API Default", then the Lead Type used for API Leads will be the CallPotential default Lead Type.

  • (J) Hidden on Lead Card - Click to hide the Lead Type on the Lead card.

Make it Available for Use

  • (K) Save - By clicking Save, the new Lead type will become available for use in the system and will be included in the active list of available Lead Types.
