(A) Start Follow-up Email

This guide explains how to manually email a Lead when one is scheduled as an event in the Follow-up workflow.

Note

Italicized terms represent clickable icons on the specific screen being discussed.

Terms in blue are links to additional information about the described functionality. 

If your company doesn't subscribe to CallPotential's Lead Management services, these instructions may not be pertinent to you.

Location - After selecting the event from the Follow-up list, a user can complete a scheduled Follow-up email from inside the Lead card.

Open the Record from the Follow-up List Note: The specific Follow-up communication method is indicated under (B) Type in the Follow-up list.

  • (A) Leads icon - Click to access the list of Follow-up events. The list will automatically open to Follow-ups. Note: The number badge above the Leads icon indicates how many total, manual (phone, text, email) Follow-up events need to be completed.

  • (C) Open - Locate the specific email event you want to complete and click to access the Lead card to proceed with the Follow-up email.

Before Sending the Email

  • Review the Lead Record - Review the (D) script to familiarize yourself with the Lead before sending the email.

Start the Email

  • (E)Start Follow-up Email - Click to initiate the manual Follow-up email.

    Dropdown options - Allows you to select alternate email address(es).
  • (C) Next Follow-up - The date of next scheduled Follow-up.
  • (D) Information - Click to access information for

    Start Follow-updropdown - Click to access additional email addresses (if available) associated with the account.  

  • (G) Next Follow-up - Indicates the next date (after the current scheduled Follow-up event) a scheduled Follow-up communication is scheduled.

Edit & Send Email - Note: All emails will automatically contain a link that Leads can use to unsubscribe from these notifications.

     Message - After clicking Start Follow-up Email,

     Add Recipients - Click to add additional recipients to the message.

  • (K) Email Body - A preview of the email will appear

    as a preview in the bottom corner of the Lead card.
  • (G) Cc/Bcc - Click to carbon copy and/or blind carbon copy the message.
  • (H) Template dropdown

    with a pre-populated message. Make edits as necessary. Note: You can click and drag the edge of the email window to increase or decrease its size on your screen.

  • (L) Templates - Click to access a list of additional standard messages

  • (I) Email Body - Will appear with a pre-populated message. Users can make edits as necessary.

Confirming Email Sent

  • (K) Message Sent - After clicking Send,

    and a confirmation message will appear confirming your email has been sent. 

  • (L) Next Follow-up - The date has been updated for the next scheduled manual Follow-up date.
  • (M) Number Badge - Will decrease by 1.

Complete the Process

  • (N) New Note - When finished interacting with the Lead card, click to enter a customized note, summarizing the interaction.
  • (O) Quick Responses dropdown - Provides the ability to quickly add notes from a list of standard responses. 

  • (P) Add - Click to add your new note to the Lead's account.

  • (Q) Save - Click to save the information you entered while working in the Lead card.

Update Record - Note: Notes are automatically updated to reflect the Follow-up communication along with the initials of the employee who completed the event.

  • (N) Save - Click Save to apply updates to the record and exit the Lead card.
