This guide will should you how to manage and create new custom lead types in CallPotential. Based on your management software, there a basic lead types available that transmit back and forth between CallPotential and your management software. CallPotential also allows you to create new custom lead types to further customize your lead follow up process and assign unique follow up workflows.

Lead types available in your PMS (such as Inquiry or Reservation) are automatically available in CallPotential to use when creating new Leads. CallPotential also provides the ability to create new, custom Lead types allowing you to further customize your follow-up process. This guide explains how to create those new, custom Lead types.

Create a New Lead Type

  • (C) Create New -

  • Clicking this will open a popup window allowing you to create and customize the new Lead Type.

Customize the Lead Type

  • (D) Lead Type -

This will default to Lead Type. Enter the new name as it will appear for use in the system
  • Enter the name of the new, custom Lead Type. After saving your work, this Lead Type will appear in the list of active Lead Types and be available for selection on Lead Cards. One example of how some clients use custom lead types is to differentiate between Web Reservations from Agent Reservations. This allows you to assign a different Follow-up workflow depending on where the Reservation was generated.

  • (E) Workflow

Rule dropdown - This will initially default to Location Default. Click the dropdown to select the workflow where the new Lead Type will appear
  • Rule - As a default, all Lead Types are set to follow the workflow set at the location level (Location Default). If you would like this Lead Type to use a different follow-up workflow, click the dropdown to assign the workflow. For more information on workflows, click here.

  • (F) Management Software

  • (G) Transmission

Type dropdown - This will initially default to INQUIRY. Click the dropdown to select the transmission type
  • Type - Based on the PMS selected, you will be able to select from a unique list of available transmission types (Inquiry, Reservation, etc). The transmission type dictates how the Lead is saved in your PMS. 
    Note: Depending on your PMS, you may see an option of None which means the Lead Type will be saved in CallPotential but not transmitted/saved in your PMS. This is an option if your PMS does not allow you to save Leads selecting a unit size that has no availability.

  • (H)

Default checkbox - This will initially default to being unchecked. Check this to make this new Lead Type the default option - Click to make
  •  CallPotential Default - There can only be one Default set for each transmission type (Inquiry, Reservation, etc). When Leads are created within CallPotential, they will be assigned the Lead Type that has been set as the default for that transmission type.

  • (I)

Save
  • API Default - If this box is checked, this Lead Type will automatically be selected for Leads created from the API for the selected transmission type. Note: If there are no Lead Types set as "API Default", then the Lead Type

If you use CenterShift or StorEdge, you have the ability to select None as a (G) Transmission Type. This allows your employee to select an unavailable unit type for the Lead but hold off on sending that information to either property management software. Once the particular unit type becomes available, your employee can work with the Lead to select the appropriate Lead Type such as Inquiry or Reservation. At that point, all the information that was held from your property management software will be sent, including any associated notes.

Make it Available for Use

  • (K) Save - By clicking Save, the new Lead type will become available for use in the system and will be included in the active list of available Lead Types.
