Tracking numbers may need to be updated when modifying call routes or adjusting settings like recording options, outbound calls

displaying the number

being displayed in the caller ID,

and

or connecting with a webhook. The purpose of this guide is to explain how you can edit tracking numbers and make those changes.

Italicized terms represent clickable icons on the specific screen being discussed.

Terms in blue are links to additional information about the described functionality. 

You must be signed into CallPotential's web version as an Administrator to access Settings and edit a tracking number.

Access

  • (A) Settings - Click to access all your available administrative settings.
  • (B)Phone Numbers - Click to access your full list of editable tracking numbers.


Select Which Tracking Number to Edit - Note: After clicking Phone Numbers, the list will initially default to showing active tracking numbers.

  • (C) Add a Filter - Click the dropdown to filter by number, associated ad, or location.
  • (D)Search - You can enter freeform information in the Search box here such as a specific number or location. The list will dynamically update as you type.


Edit Tracking Number

  • (E) Edit - Click to access the settings for a specific tracking number.


Edit Settings - Note: Changes made here my impact the information contained in the Ad Performance Report.

  • (F) Location - Click the dropdown to change the location the number will dial.
  • (G) Ad - This is the ad source the number is associated. Associating a phone number with an ad source allows you to track the effectiveness of your advertisements. In other words, this means the ad associated with the number can be credited with generating the call and allowing you to justify its expense. Click the dropdown to change the ad source the number is associated. 
  • (H) Call Routing Rule - If you want the number to follow the call route assigned to the location, leave this as "USE LOCATION DEFAULT". This is the typical setting for most location numbers. However, if you want the number to follow a unique call route, then click the dropdown to select the unique call route.
  • (I) Script Card - If you want calls to this number to populate the script assigned to the location, then leave this as "USE LOCATION DEFAULT". This is the typical setting for most location numbers. However, if you want the number to populate a unique script, then click the dropdown to select the unique script.
  • (J) Record Inbound Call - By default, inbound calls will be recorded. Uncheck the box so that the system does not record inbound calls. 
  • (K) Exclude Number - Click the checkbox to exclude the number from being used in outbound calls’ caller ID.

Note: Setting up Webhooks (L) - (O) isn't mandatory and if you aren't using Google Analytics, they can be skipped. However, if you are using Webhooks, these steps need to be completed for it to successfully work.

  • (L)Webhooks - If using a webhook, paste the link here from Google Analytics. Click here to learn more about webhooks.
  • (M) Parameter Name - To add additional data, you will need to enter the parameter name from Google Analytics in order to associate it with the system (N) Value Value.
  • (N) Value - If using a webhook and have entered information into (M) Parameter Name, you will need to associate a system variable in order for the information to accurately transmit back to Google Analytics.
  • (O) Add - This will become enabled when a Parameter Name and Value are selected. Click to add additional Parameter Names and Values.


Save

  • (P) Save - Click to save any edits made to the tracking number and return to the My Tracking Numbers list.
  • (Q)Cancel - Click to discard any edits made to the tracking number and return to the My Tracking Numbers list.
